Digital technologies have been instrumental in optimising internal processes and enhancing productivity within the company.

In addition to providing traditional audit and advisory services, BDO in Ukraine is actively implementing advanced digital tools to optimise routine processes, significantly improving employee productivity and creating competitive advantage in the market.

The outcomes of a recent employee survey demonstrate the success of implementing digital technologies. This confirms the accuracy of the strategic direction.

They utilise a range of Microsoft 365 applications for professional communication, including Teams and Outlook for internal collaboration, SharePoint and the portal for document sharing, Copilot for AI-powered tools, and Dynamics CRM for customer management and marketing campaigns.

This indicates a high level of support and adaptation of technology to the needs of employees. Even before the COVID-19 pandemic, remote working was in place thanks to Microsoft solutions that ensured business continuity.
Successful implementation of technologies in the workplace mitigates technical challenges and allows employees to prioritise on their core tasks, especially in the current situation in Ukraine, where employees are working remotely from various global locations.

During the power outages, our employees were able to remain productive due to the powerful batteries on their laptops and power banks, which provided 10 to 12 hours of operation without stationary power. It helped the employees to complete their tasks efficiently and stay in touch with the clients.

We also provided support to our colleagues in switching to fibre-optic internet providers for stable and fast connections. In addition, we supplied routers with special power supplies in case of power outages. This enabled our employees to concentrate on their work without having to concern themselves with remote access issues.

Digital tools offer convenience and efficiency, making them a valuable asset for daily operations. The implemented solutions have led to increased productivity and reduced time spent on routine tasks among employees. During the year, new time tracking systems were added and the digital stack was expanded with AI-based tools: DataSnipper, various Copilot solutions, automatic notifications, Claude, Perplexity, DeepL. This has resulted in a more dynamic and integrated environment for working with data and making decisions.

Technology has the power to enhance internal processes and ensure a company’s continued competitiveness in the market. The implementation of innovative solutions is integral to the company’s growth and enables it to respond swiftly to market demands.

In early 2023, we were among the first in Ukraine to adopt artificial intelligence tools such as ChatGPT. Our bespoke bots, tailored to the company’s specific requirements, have significantly streamlined internal processes and reduced the time spent on routine tasks, allowing us to focus on more creative projects. The Microsoft Copilot implementation has become an indispensable tool for all employees, seamlessly integrating into the Microsoft ecosystem applications, increasing their efficiency and allowing them to focus on strategic tasks.

The introduction of new technologies, especially AI, has simplified workflows and reduced the workload of employees. The automation of routine tasks allows for greater time to be allocated to the creative and strategic aspects of work. Filling out CPD diaries, recording working hours, making requests to the IT department — all these processes have been significantly accelerated by technological tools.

  • 81% of respondents can focus more on complex tasks thanks to digital tools

Digital tools offer the benefits of automating simple tasks and facilitating detailed analytics and complex problem solving, thanks to the extra perspective that is always available. Copilot is an example of such a tool. This contributes to enhanced overall efficiency and enables employees to focus on achieving strategic objectives.

  • 80% of employees agree that new digital tools have reduced the time they spend on day-to-day work, and they are satisfied with their involvement in the digitalisation process

Employees have expressed interest in the tools, and are actively involved in their implementation. They have seen concrete benefits in terms of time savings and improved workflows. The team regularly shares ideas on how to implement new technologies, and the company not only supports these initiatives but also implements them promptly. For instance, some GPT bots are already assisting with document translation, terminology analysis, and financial statement auditing, among other applications. The company also uses an expanded range of tools, from the paid Pro version of DeepL with formatting preservation to GitHub Copilot in the development and analytics departments. Employees will receive their subscriptions and licences in a timely manner. For instance, auditors were granted access to DataSnipper or an AI assistant such as Claude to streamline routine procedures during audits by automating PowerShell scripting.
The technological base is so extensive that it appears there is little remaining to be requested. All possible methods for accelerating or enhancing work processes have already been added to the arsenal.

Initiatives and competitions

  • Creating the best picture in ChatGPT with DALL-E competition to improve digital literacy and team creativity.

Employees gained the skills to create effective and creative image generation software. The most accomplished works were utilised for corporate purposes, including on the company’s website, social media and presentations. The winners received valuable gifts: headphones and tablets. On a previous occasion, the prizes included smartphones and other desirable items.

Such initiatives not only increase digital literacy, but also foster a dynamic atmosphere of team creativity. These results confirm that BDO in Ukraine is proactively investing in digital technologies, thereby optimising internal processes and ensuring competitiveness in the market.
